[Emiratisation Hiring](https://blog.tascoutsourcing.com/insights/tag/emiratisation-hiring)

Most businesses don't run into trouble with corporate tax filing in the UAE because the calculations are difficult. They run into trouble because the documents needed to support those calculations aren't in order by the filing deadline. By the time finance teams realize a record is missing or incomplete, there's often very little time left to fix it properly.

Getting the documentation right isn't a last-minute task. It should be built into how a business keeps its records throughout the year, so when filing season comes, the process is compiling what already exists rather than reconstructing it under pressure. Here's what businesses actually need to have ready.

## **Corporate Tax Registration Records**

Before anything else, a business needs confirmation of its Corporate Tax Registration Number and a copy of the registration certificate issued through EmaraTax. This sounds basic, but registration details, such as trade license information, ownership structure, and financial year-end, need to match exactly what's on file with the Federal Tax Authority. A mismatch here, even a minor one, can delay the entire filing process while it gets corrected.

Businesses with multiple branches or subsidiaries should also have documentation confirming how each entity is structured under their corporate tax group, since this affects how the group's filing is prepared and submitted.

## **Full Financial Statements for the Tax Period**

This is the core of any corporate tax filing UAE businesses need to prepare, since taxable income is calculated directly from net profit or loss as reported in the financial statements. At minimum, this means a complete profit and loss statement and balance sheet for the relevant financial year.

Businesses required to prepare audited financial statements, which includes most Free Zone entities seeking preferential tax treatment, along with larger businesses generally, need the finalized, signed audit report ready well before the deadline, not still in progress. Audits take time, and starting the audit process in the final weeks before filing is one of the more common reasons businesses end up requesting delays they aren't entitled to.

## **Reconciled Accounting Records**

Financial statements are only as reliable as the accounting records behind them, and reconciliation is where a lot of the real preparation work happens. This includes bank statements matched against the general ledger, sales invoices reconciled against recorded revenue, supplier bills matched against recorded expenses, and inventory records reconciled against physical or system counts where relevant.

Unreconciled accounts create discrepancies between what a business reports and what its underlying records actually show, and those discrepancies are exactly what draw scrutiny if the filing is ever reviewed. Businesses should treat reconciliation as an ongoing monthly task rather than something to compress into a few weeks before the deadline.

## **Documentation Supporting Relief Eligibility**

Businesses electing for Small Business Relief, or Free Zone entities claiming Qualifying Free Zone Person status, need supporting documentation that proves eligibility, not just a claim made on the return itself.

For Small Business Relief, this means clear records showing gross revenue fell at or below the AED 3 million threshold for the relevant period. For Qualifying Free Zone Persons, this means evidence of substance requirements being met, audited accounts, and a clear breakdown showing non-qualifying revenue stayed under the applicable threshold. Without this documentation on file, a business claiming relief it can't substantiate is taking on risk that tends to surface during any future review.

## **Transfer Pricing Documentation for Related Party Transactions**

Any business that engaged in transactions with related parties during the tax period- intercompany loans, management fees, shared services, asset transfers- needs documentation showing those transactions were conducted at arm's length.

Where revenue or transaction volume exceeds the relevant thresholds, this means a local file and master file prepared according to transfer pricing requirements, along with the related party disclosure schedule submitted alongside the return. This is one of the more technical areas of preparation, and businesses that haven't dealt with transfer pricing documentation before often underestimate how long it takes to prepare properly. Starting this work early avoids compressing a genuinely detailed process into the final weeks before filing.

## **Records of Prior Adjustments and Carried-Forward Items**

Businesses with tax losses carried forward from prior periods, or adjustments agreed with the FTA in previous filings, need clear records of these carried through to the current period's calculation. Losing track of carried-forward figures, or applying them incorrectly, is a common source of errors that can affect the accuracy of the current year's liability.

## **A Clear Audit Trail for Every Figure on the Return**

Beyond the specific documents above, every number that ends up on the corporate tax return should be traceable back to a source document. This means invoices, contracts, bank records, and ledger entries need to be organized in a way that lets a business, or the FTA, follow the trail from the final tax figure back to the original transaction.

Under FTA requirements, this documentation needs to be retained for a minimum of seven years, so the organization work done now has value well beyond this year's filing. Businesses that keep records scattered across departments or systems tend to lose far more time gathering documentation than businesses that maintain a centralized, well-organized filing system throughout the year.

## **Why This Preparation Should Start Months, Not Weeks, in Advance**

Every document listed here takes real time to prepare properly, and several of them, including audited financial statements, transfer pricing files, relief eligibility documentation, cannot be rushed without introducing errors. Businesses that begin gathering and reviewing documentation several months ahead of the deadline consistently file with fewer complications than those that start in the final few weeks, when errors are harder to catch and time to correct them is limited.

**Make Sure Your Documentation Is Filing-Ready**

Corporate tax filing in the UAE runs smoothly when the underlying documentation is solid, and runs into trouble when it isn't. If your financial statements, reconciliations, or transfer pricing files still need work before the deadline, our advisory team can help you get organized well ahead of time rather than under pressure. Reach out to schedule a documentation review and make sure everything is ready when it's time to file.

## **Frequently Asked Questions**

**What documents are absolutely essential for corporate tax filing UAE businesses need to complete their return?**

At minimum: registration confirmation, full financial statements, reconciled accounting records, and documentation supporting any relief claimed. Businesses with related party transactions also need transfer pricing documentation.

**Do all businesses need audited financial statements to file?**

Not all. Smaller businesses under certain revenue thresholds may use simplified accounting, but most Free Zone entities and larger businesses are required to prepare audited statements.

**How long should businesses retain corporate tax documentation?**

FTA regulations require supporting records to be retained for a minimum of seven years, regardless of business size or structure.

**What happens if a business claims a relief it can't fully document?**

It creates compliance risk. If the FTA reviews the filing and finds insufficient support for the relief claimed, the business may face reassessment and penalties.

**When should businesses start preparing their documentation?**

Ideally several months before the deadline, particularly if audited statements or transfer pricing documentation are required, since both take considerable time to prepare accurately.
